How We Handle Personal Data

1 · The controller of your data

[Registered Company Name] ("WeTRACK", "we") operates gowetrack.com and is responsible for the personal data covered by this policy. We act as data controller under applicable data protection law, including as Data Fiduciary under the Digital Personal Data Protection Act, 2023 ("DPDP Act") and, where it applies, the GDPR.

2 · Who this policy applies to

This policy covers anyone who visits gowetrack.com and any business contact who receives correspondence from us or writes to us in a professional capacity. Personal data that our customers upload to or process within the WeTRACK platform is handled under our customer terms, not this policy.

3 · Personal data we collect

  • Business contact details: name, job title, employer, business email address, business telephone number, city and country.
  • Company information: company name, website, industry, trade lanes and publicly reported shipment activity.
  • Correspondence data: the content of emails you send us, and whether our emails to you were delivered, bounced or answered.
  • Technical data: IP address, browser type and time of request, recorded in standard server logs by our hosting provider for security purposes.

We do not intentionally collect sensitive or special-category personal data, and we ask that you do not send it to us.

4 · Sources

  • You, when you write to us or speak with us;
  • Public professional sources, including company websites, trade directories and published shipment records;
  • Commercial business-contact databases licensed from providers that warrant lawful collection; and
  • Referrals from mutual business contacts.

5 · How we use personal data

  • To introduce WeTRACK to professionals whose work involves shipment tracking, and to follow up on that introduction;
  • To answer questions and arrange meetings you request;
  • To record and respect your choice not to hear from us;
  • To keep this website and our email systems secure; and
  • To comply with applicable law.

Legal basis. Under the GDPR we rely on legitimate interests in business-to-business communication, which we have assessed against your rights and freedoms, and on legal obligation where relevant. Under the DPDP Act, we process data you have made publicly available in your professional capacity and, wherever consent is required, only with your consent, which you may withdraw at any time without detriment.

6 · Your choices and rights

You may ask us at any time to tell you what personal data we hold about you, to correct or complete it, or to delete it. You may object to our processing, withdraw any consent you have given, request a copy of your data in a portable format, or ask us to restrict how we use it. Under the DPDP Act you may also nominate someone to act for you, and you have a right to have grievances addressed.

Send requests to privacy@gowetrack.com. We act on verified requests free of charge within 30 days. You also have the right to lodge a complaint with the Data Protection Board of India or, if you are in the EU or UK, with a supervisory authority.

7 · Opting out

Every email we send tells you how to opt out. Reply with "unsubscribe" or "no", or write to privacy@gowetrack.com, and we will stop all further outreach to that address across every domain we operate, within 10 business days and usually much sooner. We keep a minimal record (your email address and the date of your request) on a suppression list solely to make sure you are not contacted again.

8 · Recipients

  • Processors: providers of email infrastructure, outreach software, CRM, email verification and website hosting, acting solely on our documented instructions.
  • Advisers: legal, accounting and audit professionals bound by confidentiality.
  • Authorities: where disclosure is required by law or legal process.
  • Corporate transactions: a successor to all or part of our business, subject to this policy.

We do not sell personal data or share it for cross-context behavioural advertising.

9 · Cross-border processing

Because our tools are provided by international vendors, your data may be processed in countries other than your own. We transfer it only where the law allows: for GDPR-covered data, under an adequacy decision or Standard Contractual Clauses; for DPDP-covered data, never to a jurisdiction notified as restricted by the Government of India.

10 · How long we keep it

  • Prospect data: until you opt out, or for up to 24 months after our last meaningful interaction, whichever is earlier; then deleted or irreversibly anonymised.
  • Correspondence with customers and partners: for the duration of the relationship and afterwards for as long as tax, accounting or other laws require.
  • Server logs: for a limited period set by our hosting provider, solely for security and troubleshooting.
  • Suppression list: indefinitely, limited to your email address and opt-out date, so that we can honour your request.

11 · Safeguards

  • Transport-layer encryption for data in transit;
  • Least-privilege access with individual, two-factor-protected accounts;
  • Security and confidentiality obligations imposed on every processor; and
  • A breach-response procedure that includes notification to affected individuals and to authorities, including the Data Protection Board of India, where required.

12 · Cookies and tracking

This website sets no cookies, runs no analytics and loads no third-party scripts, fonts or trackers. The only data generated by your visit is the standard server log kept by our hosting provider for security.

13 · Individuals under 18

We do not target or knowingly collect data from persons under 18 years of age. If you believe we hold such data, please contact us and we will delete it.

14 · No automated decisions

None of our processing involves decisions made solely by automated means that have legal or similarly significant effects on you.

15 · Legal terms

Indian law governs this policy, and the courts at Thane, Maharashtra have jurisdiction, without prejudice to any non-waivable rights or remedies available to you under the law of the place where you live. Should any part of this policy be found unenforceable, that part will be limited to the minimum extent necessary and the remainder will remain effective.

16 · Changes to this policy

We may update this policy from time to time. The effective date at the top shows when it was last changed. If we make a material change, we will display a prominent notice on this page, and where the law requires your consent to a change, we will ask for it.

17 · Grievance redressal
